Position Overview

The Senior Lease Administrator is a global role and key member of the Exact Science’s Real Estate and Facilities Services department responsible for the abstraction and monitoring of leases, tracking lease costs, facilitating lease payments, lease contract administration, and conduct audits for Exact Science’s real estate portfolio. This role involves developing collaborative cross-functional business partners including Real Estate, Facilities, Project Management, Legal, Tax, Risk Management, Corporate Accounting and Finance. In addition, the team works with many external business partners such as outside legal counsel, third-party consultants and landlords. The function of this role is to enable the department to optimize technical resources to meet core business demands in the business area in which it supports.

Essential Duties

Include, but are not limited to, the following:

  • Ensure 100% data integrity such that lease documents are interpreted, abstracted and entered into the system of record accurately.
  • Serve as a knowledge resource and liaison between Exact Sciences and landlords to resolve issues, reconcile and process monthly recurring rents and one-time payments, and other rent payment adjustments as needed.
  • Conduct global lease negotiations and audits to ensure cost-effectiveness and time-savings.
  • Identify open items and facilitate a timely resolution to avoid project schedule delays.
  • Ensure the on-going verification and abstraction of lease information and documents into lease administration tools, including international leases.
  • Oversee new lease set-up to include acquiring vendor payment information and contacts, insurance certificates and database updates.
  • Maintain accurate and up-to-date lease information in lease administration tools.
  • Proactively identify and monitor key lease dates such as renewals, expirations, TI allowances, security deposit returns and other lease related options.
  • Research and resolve payment disputes, employing analytical skills to find effective solutions and maintain positive relationships with partners.
  • Review and reconcile Common Area Maintenance (CAM), property tax, and other operating expense invoices from landlord.
  • Review and process year-end lease operating expense reconciliations.
  • Prepare and distribute department reports in a timely and accurate manner.
  • Maintain the department’s intranet site.
  • Be a trusted liaison with employees, landlords, leadership and designated functional departments; handle confidential and sensitive business critical information.
  • Consistently convey a friendly, helpful, and professional attitude with employees, landlords, and visitors.
  • Assist in developing documentation around policies and processes within designated area to provide clarity to functional departments.
  • Ability to frequently and accurately communicate with employees, landlords, and vendors face-to-face, telephone, or by email.

  • Support and comply with the company’s Quality Management System policies and procedures.
  • Maintain regular and reliable attendance.
  • Ability to work designated schedule.
  • Ability to work nights and/or weekends, as needed.
  • Ability to lift up to 30 pounds for approximately 5% of a typical working day.
  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 90% of a typical working day.
  • Ability and means to travel between all locations, as needed.

Minimum Qualifications

  • Bachelor’s Degree in Business Administration, Accounting, or related field as outlined in the essential duties.
  • 5+ years of relevant experience in real estate lease administration, including communication with landlords for issue resolution.
  • Proficiency with Microsoft Office Software Suite with Excel expertise.
  • Excellent attention to detail and organization skills.
  • Strong written and verbal communication skills.
  • Authorization to work in the United States without sponsorship.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.

Preferred Qualifications

  • Experience using SAP and Conga.

Salary Range:

$67,000.00 - $109,000.00

The annual base salary shown is for this position located in US - WI - Madison on a full-time basis. In addition, this position is bonus eligible, and is eligible to receive company stock upon hire as well as annually.
